How official protocol number assignment works

Document protocol

The protocol is a unique sequential number assigned to documents for traceability and linking to the physical archive.

How to assign

  1. Open the document detail
  2. Click Assign protocol
  3. The system generates the number in the configured format

Format

The administrator configures the protocol format (e.g., PROT-2026-000001). Numbers are sequential and reset each year (configurable).

Immutability

Once assigned, the protocol cannot be modified, reassigned or deleted. This ensures archive integrity.

Practical use

The protocol number is the same one that appears on the physical folder in the archive. Searching by protocol immediately finds the corresponding digital document.
