Theka is built differently from the American enterprise DAMs, with concrete consequences for total cost, data sovereignty and freedom of choice in AI.

A flat fee with your people included

Many DAMs charge for every seat from the very first one. Theka starts from a flat fee that already includes your team: 5, 10 or 30 people. Beyond that, additional licences are written into the quote before you sign.

Your documents in your cloud

Theka works on your S3, SharePoint, MinIO, SFTP, Backblaze, DigitalOcean or Wasabi. Jurisdiction, control and storage costs remain yours.

Your AI key, your budget

You bring your own OpenAI, Anthropic, Gemini or Mistral key: you pay the provider for tokens, not us, and keep them under control with caps and estimates.

Italian invoicing and support

Italian VAT number, electronic invoicing, contract and support in Italian.

Frequently asked questions

About plans and pricing.

Is the price per organisation or per user?

Both, in that order. The flat fee is per organisation and includes a number of users that depends on the plan: 5 in Starter, 10 in Professional, 30 in Enterprise. If you need more people, you add user licences up to the plan maximum (10, 100, no limit in Enterprise). The cost of additional licences is set out in the quote.

What does bringing your own AI mean?

You configure Theka with your own OpenAI, Anthropic, Google Gemini or Mistral key and pay the provider directly for the tokens you use. Theka adds no mark-up, and you keep control of budget, models and data residency on the AI side.

Can I set a spending limit on AI tokens?

Yes. A daily cap guards your spending: once the limit is reached, knowledge extraction stops until the next day; document analysis, chat and search carry on.

Is there a free trial?

There is no automatic trial. After a 30-minute guided demo, if there is interest, we arrange a technical trial on an agreed set of documents (usually 30-60 days) before the annual contract.

Can I change plan?

Upgrading is immediate: the new features are enabled straight away. External search (Elastic or OpenSearch) needs to be activated after the change. Downgrading needs to be assessed first if privacy level 2 is active or if the knowledge already holds a lot of content.

Is there an annual discount?

Yes, with annual billing in advance on the Professional and Enterprise plans. The percentage is set in the quote. Invoicing in euros, with Italian VAT and electronic invoicing.

Which payment methods do you accept?

Bank transfer against a monthly or annual invoice. For Enterprise, custom billing cycles can be agreed.

Are storage and cloud costs included?

No: you bring your own storage (S3, SharePoint, MinIO, SFTP, Backblaze, DigitalOcean Spaces, Wasabi) and pay the cloud provider for space and traffic. Your data stays in your jurisdiction and under your control.
