New Features

Dedicated search engine (optional)

  • A high-performance external search engine can now be configured to handle archives with hundreds of thousands of documents
  • Search keeps working exactly as before for the end user: no UI changes, same filters, same grouping by document, same match-field highlighting
  • When configured, results come back in constant time even on very large archives and on queries with many combined filters (entities, projects, tags, custom data)
  • Administrators can trigger a full archive re-index with one click from the integrations page, and the system populates the indexes in the background without interrupting users

Service continuity

  • If the external engine becomes temporarily unreachable, search keeps working by automatically falling back to the internal engine: the user never sees an outage
  • As soon as the external engine is back online, search resumes automatically with optimized performance

Updates

  • All document changes (new uploads, category or type updates, linked entity or project changes, archive, deletion) are propagated to the external index in real time, guaranteeing always up-to-date results
  • Document metadata changes (title, protocol number, category, type, classification) update the index for every linked version, keeping current-version and historical search consistent
  • Extended document content (text extracted from PDFs, Office files, images) and AI-produced data (summaries, descriptions, structured data) are available in full-text search from the very first indexing

General Info

Infrastructure update focused on search scalability for customers with large archives. No changes to the user experience: search remains identical in UI and behavior, but becomes significantly faster when the dedicated engine is enabled.

Enablement is optional and can be done by the tenant administrator at any time.
