Theka v1.1.4 — External storage sync and version management

New Features

External storage synchronization

  • Files already present in your storages (SharePoint, S3, SFTP, etc.) can be automatically discovered and indexed by Theka, with no need to re-upload them
  • Folders are scanned recursively, including deeply nested subfolders
  • New per-folder sync rules: define where to look, which category to assign, whether to apply AI, which extensions to accept and the scan frequency
  • New "To process" status: discovered files first enter a review list without being downloaded. You choose when to process them (batches of 20 at a time) to keep resource usage under control
  • Real-time integration via webhook: external systems (ERP, Lambda, Power Automate) can notify Theka of new files, modifications or deletions. A single secure endpoint for the whole tenant

Import from storage

  • The document upload dialog now offers an "Import from storage" tab: browse the storage visually or paste a file path to import it directly without re-uploading
  • Clear visual indicators: already imported files, disallowed extensions, oversized files, active exclusion patterns

Version management

  • Merge versions: select multiple separate assets and merge them into a single document with ordered versions. Useful when an external system uploaded v1, v2, v3 as distinct files
  • Version label: every version can now have a custom name (e.g. "Draft", "Legal review", "Client signed") alongside the automatic number

Dashboard

  • New "To process" metric on the home page: see how many files have been discovered but not yet analyzed
  • Clicking the metric opens the filtered list ready for bulk processing

Manual classification

  • Files imported without an automatic category land in a "To classify" view where you can assign them in bulk
  • AI-compatible: per folder, decide whether AI should suggest the category automatically or if you prefer to do it manually

Updates

  • Improved webhook security: each tenant can now manage dedicated API keys for each external integration, with a configurable per-minute rate limit
  • Improved sync resilience: on partial listings (e.g. temporary storage authentication issues) files are not wrongly marked as deleted
  • Assets imported from external systems are clearly distinguishable from manually uploaded ones in the document list
  • The original file is never moved or renamed on read-only external storages

General Info

Major update focused on external storage integrations. No changes to existing data. Manually uploaded files continue to work exactly as before.
